Improve the Flow

of Your Business

I’m a small business owner and I love the work I do.

I love the freedom it affords me.

I love having choices.

I love knowing what’s going on.

And that’s why I love spreadsheets.

I’ve been there…

  • Overwhelmed

  • Unsure of business progress

  • Uncertain how I can keep it all together

Spreadsheets have given me the freedom to trust my business practices and make important adjustments where they’re needed most.

Spreadsheets for Your Therapy Practice

I’ve met my fair share of colleagues who love the work they do, but lo’ and behold, years after undergrad, they have to “math” again.

Maybe this is you.

You’ve put out your shingle and have a real caseload… you’ve begun to take things seriously.

But you don’t math, remember… Now what?

The truth is… Numbers don’t lie. They give you the facts. Facts support you in your goals. I don’t even mind as much anymore when the numbers scare me a little.

I know they are giving me vital information that allows me to change and correct course when I need to.

Still, I see the apprehension in you.

Furthermore, how do you do it without knowing how to use Excel?

You don’t have time to learn Excel. I know you have enough platforms you’re trying to keep up with.

-This is where I come in-

  • Tracking Your Income

  • Tracking Your Expenses

  • Anticipating Bills

  • Meeting Financial Goals

  • Monitoring Multiple Income Streams

The Attraction and Aversion is Real When it Comes To:

A Therapist Who Speaks The Language

I’m Carol and I’m a psychologist.

I also happen to love spreadsheets.

They calm me down.

I like knowing what I have coming in and going out.

I like monitoring my income and private practice clients.

I like anticipating, with accuracy, what to expect each month.

I love everything about them.

I recently started sharing my processes with colleagues and came to find out, a lot of people do not share my love for these brilliant little boxes of data.

Benefits of Tracking Your Business

There’s a behavioral saying you may be familiar with, “If you want to change it, track it,” or similarly, “Track it to change it.”

The basic principle is, if you don’t know what you’re doing, you won’t be able to figure out what exactly to do differently.

Make adjustments with real impact.

Gain more:

  • Knowledge About Your Business

  • Freedom to Make Smart Choices

  • Flexibility to Adjust At Your Comfort Level

Business owners need real direction. It can be tough out there. If you’re an entrepreneur and struggling with how much you’re taking in and spending, not sure which way is up, you HAVE to get a handle on things.

When we track what we’re making or doing, we get a clear understanding of our current set up. This provides you the freedom to make choices with real potential for impact.

Whether you are growing quickly or slowly, having the flexibility to grow at a level that suits your needs, values and goals is truly living the dream life.

For my non tech-savvy clinicians out there, trust me when I say this is not the tech that will derail you.

I’m a big fan of organization and tracking, so I get why you may think I’ve spent thousands of hours inputting data. This just isn’t so!

The data input is far simpler that your mind may be leading you to believe.

All of my spreadsheets come with One on One Coaching with me, Carol to get you comfortable with using your spreadsheet.

Won’t this take forever to learn?

I hear this all the time.

Each spreadsheet comes with a one on one coaching session with me where I will guide you through the initial data input. This won’t take forever. I want you to get on with your dream life as soon as you can!

You won’t be left hanging.

The spreadsheets I offer are not daily, 5 hour tasks.

When first getting started, I’ve had customers tell me they spend a half hour or so poking around the template. Moving forward, they spend a few minutes inputting their data and then, inevitably, gaze in awe at their progress.

Being able to track exactly what is going on in your life is so satisfying. It gets your wheels turning so you can keep thinking of how you can improve. You really get to marvel at how far you’ve come. It can truly make a difference in your life.

Types of Spreadsheets

For all your accounting and business tracking needs, here is an overview of each spreadsheet I offer and what it can do for you and your business.

  • This is truly where it all began. I shared what I was doing with some colleagues and interest exploded!

Spreadsheets are completely customizable, it’s what makes them so magical!

If you have an idea of something you’d like to track but just don’t know how to create it, let’s jump on a call and really figure out what you need help with.

  • The Account Tracking Spreadsheet allows you to look at ALL of your bank accounts. This includes Checking, Savings, Retirement, Money Market and any other bank account you may be using to build out your financial future.

  • This is for your accountant. Plain and simple. When your accountant asks you at tax time if you’ve categorized your expenses, fear no more!

Your accountant wants to see what categories your expenses are going into and this helps you put them in the right place. This spreadsheet clearly shows what is an expense for your business and where it should go. You’ll see monthly and yearly breakdowns of your expenses.

Having a solid understanding of your business finances can be a real game changer.

    Get started changing your future!

  • If you’re like most mental health providers, you accept insurance for payment. And if you’re REALLY like most mental health providers, you accept MULTIPLE insurances.

Keeping track of the copays and reimbursement can quickly become overwhelming.

This spreadsheet lists each session, payment from the client (copay), credit card processing fees, and full payment from the insurance company.

While most of us use an EHR (Electronic Health Record) at this point, you still have to go into each client file to see payment statuses. This tool allows you to see, at a glance, the big picture status of your insurance clients. It’s organized by week and month and will help you narrow down which insurances are helping or hurting your business.

No insurance? This spreadsheet can be set up as a tool to track your multiple streams of income. Insurance happens to be a common payment tracking example for people in our field.

If you have multiple streams of income, use this spreadsheet to see where your money is coming from! And great job getting those side hustles going!

  • This is a really popular money-management approach in the self-employment world.

The Profit First Approach has been lauded by many and brings so much clarity to your financial goals. Profit, Taxes, Pay… all get accounted for right from the beginning.

With this spreadsheet, you know right away how much money you should be allocating to your Profit First accounts each month. Plug in your income and let the spreadsheet do the hard work for you!

  • This tracking sheet is there to help you keep your eyes on the prize. This spreadsheet was created for business owners who have weekly and monthly income goals. It gives you a daily breakdown of your income and allows you to monitor your progress toward meeting your weekly and monthly goals.

If you want to visualize progress toward your financial goals, this is the spreadsheet to do it!

  • This tracking sheet was specifically made for therapists in private practice who are wanting to increase their fee per session.

This tracking sheet has you input each session rate for the week. It then takes that info and creates an average fee per session and average number of clients per week.

If you’ve recently raised your fees, or are planning to bring your fees to an average you can live off of, this will help you see that progress!

This spreadsheet creates a graph for you to see your average session fee (hopefully going up) and number of sessions (maybe you want those to go down).

  • Electronic Health Records are such a game changer. I love mine but I would also love to see what I have left to do in each file!

This spreadsheet helps you do just that.

    Keep Track Of:

    • Date of Phone Consult

    • Date of Intake Paperwork sent

    • Date Intake Paperwork Completed

    • First Session

    • Treatment Plan

    • Treatment Plan Completed

    • Referral Source

    • And More!

This spreadsheet helps you see when and how clients are finding you, how long they stay with you, and what steps you need to complete within their file to stay up to date and in compliance.

The process is simple!

  • Just send me a contact message and tell me which of my spreadsheets you want or your idea for a custom spreadsheet,

  • We’ll get on a call together and discuss your needs and payment,

  • You will receive your NEW spreadsheet and we’ll schedule your One on One Coaching!
